Application for Graduates

Identity Verification
YNU asks applicants to show their form of identification on applying certificates and transcripts for the purpose of identity verification. Your understanding and cooperation is greatly appreciated.
  1. No fee is charged for issuing certificates. However, a reply envelope with a stamp is necessary in case of application by post.
  2. Certificates will be issued with the name from your enrollment as a student.
  3. Certificates will be issued in either Japanese or English.

Application at Office

Applicants must visit the college office and fill in the application form. Please note that certificates will not be issued immediately.

Basically, application must be done by the graduate himself / herself. Please bring your ID (driver’s license, health insurance card, passport, etc.) to the college office. In case the application is done by a person appointed, a letter of appointment (arbitrary form accepted) and an ID of the person is also required. If there is a change of name after graduation, a document verifying it may be required. For more detail, please contact the college office shown at Contacts for Applications and Inquiries, below.

If you want to receive the certificate by post, please refer to “Application by Posting” 2 and 3.

Application by Posting

Applicants must send the following three documents.


1. Application for Certificate

Please fill in the following form.

* Documents with following information included are also accepted.

Required Items
  • Name of College, Graduate School, Department
  • Student ID No. (if you still remember)
  • Name of Graduate
  • Gender
  • Date of Birth
  • Year and Month of Entry
  • Year and Month of Graduation (Completion)
  • Type and Number of Certificates Required
  • Domicile or Nationality
  • Present Address
  • Purpose of Issue (please specify all places where certificates are to be submitted when requesting multiple certificates for different recipients.)
  • Language (Japanese or English)
  • Nationality and Name in Roman Letters (when English certificates are required. Please indicate the date in case certificates have previously been issued in English)
  • Contact Telephone Number

2. Photocopy of Identification

Sample of ID is shown below.

  • Health Insurance Card
  • Driver’s License
  • Passport etc.

In case the application is done by a person appointed, a letter of appointment (arbitrary form accepted) and an ID of the appointed person is also required.
The photocopy will be destructed after certificates are issued. If there is a change of name after graduation, a document verifying it may be required (Graduates from College of Education and Sciences, Faculty of Education will not be required with this). For more detail, please contact the college office shown at Contacts for Applications and Inquiries, below.

3. Reply Envelope

Please enclose a reply envelope with a stamp and your address written. Envelope size 3 (22cm x 28cm) or size 2 (24cm x 33cm) is accepted. (The envelope can be folded for posting).

Graduation (completion) certificates or transcripts
1-2 copies: 120 JPY; 3 or more copies(2 or more when including English version): 140 JPY
A set of graduation (completion) certificates and transcripts
2 sets: 120 JPY; 3 or more sets(2 or more when including English version): 140 JPY

For other items

100-150 grams 205JPY
150-250 grams 250JPY
250-500 grams 380JPY
Over 500 grams 570JPY

For express delivery, add special delivery postage for express mail. An express mail postage requires 270 JPY additionally for up to 250g, and 370 JPY additionally for up to 1,000g.

Days Required for Issue

  1. 1) Certificates in Japanese: Approximately one week after receiving application.
  2. 2) Certificates in English: Approximately three weeks after receiving application.

Application from Overseas

Application from overseas is advised to be done via a contact person (family, friends, colleagues from your workplace, etc.) who resides in Japan. If this is not possible, please contact the college office.

Application for Enrolled Students

Basically, application by enrolled students must be done at the college office. Applications for different types of certificates are accepted at respective offices, so please refer to the Student Handbook. Note that minimum of one week will be necessary to issue an academic transcript during the job searching period. Students are advised make application well in advance during this time.
